How we work

No mystery process. No six-week “strategy retreat.” We find out what’s broken, put the deal on paper, build something real, and make sure your crew can run it.

The simple version

Free chat is fine for a one-off question. That’s not what we sell. We put AI into the work you already do — and people still approve the calls that matter, especially money.

What we tell owners on the first call: “You might already use ChatGPT for quick ideas. We’re not selling you another chat window. We build stuff into your daily process — and you stay in charge.”

Four steps (then you’re either better off, or we failed)

Same path whether you need books help, job-flow cleanup, or something custom for your shop.

1. Discover

Short conversation. What’s broken, what you’ve already tried, and whether we’re even a fit. If we’re not, we’ll say so. No hard sell.

2. Put it in writing

Simple engagement letter. Who’s responsible for what, how we handle your data, and what “good” looks like in your words — not ours.

3. Scope the job

Written statement of work: deliverables, price, timeline. Not open-ended “AI hours.” You know the finish line before we dig in.

4. Deliver

We build it, plug it into your real tools, train your people, and stick around long enough that it survives a normal workday. Optional keep-it-running help after that.

What that looks like day to day

Three rules we don’t bend. Everything else can flex for your shop.

We dig before we build

Bigger jobs get more homework — how your trade works, where time and money leak, what success means in dollars and hours. Smaller jobs stay lean. Still written. Still clear.

We don’t stop at advice

If all you wanted was a report, you wouldn’t need us. We wire the workflow, set up the tools, and leave you with something people can click through without calling us every hour.

People still make the money calls

AI can draft, suggest, and sort. It doesn’t get a free pass on the ledger, filings, or signing the contract. Suggestions only — humans approve.

Who shows up on your side of the table

You’re not hiring a faceless “AI platform.” You’re working with a founder-led firm. Different kinds of work need different skills — process, money, documents, privacy, training — and we make sure those bases are covered without drowning you in titles.

You always know who’s accountable

Commercial decisions and go-live calls sit with the people who signed the agreement. We don’t hide behind a bot or a ticket queue when something’s on the line.

Privacy, without the lecture

You’re right to be careful with customer and shop data. Here’s how we treat it:

  • Your data is for your work — not free training material for someone else’s model by default
  • Access is need-to-know for the people doing the job
  • Chat is not your books, not your job system, and not the official record
  • When public free tools feel too loose, we use tighter setups
  • The agreement says the work product is yours

When we’ve already built the system

Some problems keep coming back — especially multi-entity books and bank-to-books cleanup. For those, we use systems we already run (with test before go-live), so you’re not paying us to invent the wheel every month. Custom shops still get custom builds. Same four steps either way.
